1. What this document is
This is placeholder text. It was written by the Birchpoint team to build and test the mechanism that serves, versions and records acceptance of legal documents. It has not been drafted or reviewed by a lawyer. It is not a privacy policy you can rely on, and nothing recorded against this version has legal effect.
The final Website Privacy Policy is being prepared by external counsel and will replace this text in full.
2. Who is responsible
Axxon Labs Inc., an Ontario corporation, operating the Birchpoint service. Contact: legal@axxon.app
3. What is collected
- Account information — name, work email, company name, industry, country and province or state, collected when an account is created.
- Application content — documents and form answers submitted by applicants and contributors, and the messages exchanged about them.
- Records of use — what was checked, when, by whom, and what the outcome was. These records are kept as an audit trail.
- Enquiries — anything sent to us directly, used to respond and to follow up on the enquiry.
4. Cookies and analytics
No third-party analytics and no advertising pixels are in use today. Only the cookies required to keep someone signed in are set. If that changes, this document changes with it, and a cookie notice appears before any such tool is switched on.
5. Who else processes it
Third-party providers, by category: cloud hosting, database and storage, AI processing, and transactional email. All are located outside Canada. A current list is available on request.
Customer data is not used to train machine-learning models, and that restriction is passed down to AI processors.
6. Where it goes
Data is processed and stored outside Canada.
7. How long it is kept
Application content is kept for as long as the customer's account is active, and then deleted on the timetable set in the customer's agreement, except where a law requires it to be kept longer. Enquiries are kept for six months after the last contact.
8. Your choices
Requests about your own information should go to the organization that invited you to Birchpoint, since it decides what happens to the file you are part of. You can also write to legal@axxon.app.
The product does not yet offer self-service export or deletion. That is tracked as work still to do, not as a position.
